How to set customer credit limits in inFlow (beta)

The Customer Credit Limits plugin lets you set a maximum outstanding balance for each customer. When a new order would push them past it, inFlow saves the order as Unconfirmed and shows a warning, so no one picks or ships it until someone approves it.

Please note that Customer Credit Limits is a beta feature of the plugin and is being released gradually. Please contact the inFlow Team to request early access.

Before you start

  • An administrator needs to install the Customer Credit Limits plugin from the Plugin Settings. See Plugins: add new features to inFlow for how to install one. Once it’s installed, anyone who can edit customers can set a limit.
  • Credit limits work in inFlow for Web. They don’t appear in the inFlow Windows app or the mobile app.
  • A limit is set for each customer, so you can hold orders for that account once the limit has been reached. At the same time, all other customers can continue ordering as normal.
  • Credit limits are set in the customer’s own currency, which is the currency of their default pricing scheme. Balances from orders in other currencies are converted at your current exchange rates.

How to set a customer’s credit limit

  1. Open the customer’s record. See how to create customers in inFlow if you’re setting one up for the first time.
  2. In the Credit Limit section, enter an amount in the Limit field.
  3. Select Save to save the customer.

To change a limit later, reopen the customer and edit the Limit field. To remove one, clear the field and save — a customer with no limit is never flagged.

The limit is saved on the customer record, so it follows the customer page’s normal editing flow. It counts as an unsaved change until you select Save, and Discard reverts it.

Enter 0 or a positive amount. Leave the Limit field blank to give a customer no limit.

How credit limits are applied to orders

What the Credit Limit card shows

The card shows three things: Total Customer Balance, which is what the customer currently owes you; Limit, the maximum you’re willing to let them owe; and Remaining, how much credit they have left, alongside a Within limit or Over limit tag. What counts toward the balance

The balance is what’s outstanding on unpaid and partly paid sales orders. It excludes quotes, unconfirmed orders, and canceled orders, so nothing gets counted twice. Fully paid orders don’t count either.

Going over the limit

When you save a sales order that would put the customer over their limit, inFlow sets the order to Unconfirmed and shows a warning banner naming the amount they’d go over by. The banner can’t be dismissed, and it updates in real time as you change the order. The order can’t be picked, shipped, or invoiced until someone confirms it. An unconfirmed order also doesn’t reserve stock, so the quantity stays available for other orders while it waits.

Coming back under the limit

If you bring the order back under the limit by reducing the quantity or removing a line, the banner disappears, and the order reverts to confirmed. Sales quotes get their own version of the banner, letting you know the quote would go over the limit if you convert it to an order.

Who can confirm an order?

Only a team member with the Confirm orders access right can confirm the order and release the hold. That right sits under Sales orders in your team member access rights. It’s turned on by default for anyone who can already edit sales orders. So if you want credit approvals limited to a few people, turn it off for everyone else. Administrator access alone doesn’t include Confirm orders. If the Confirm button is greyed out, hover over it to see why, then ask an admin to grant you the right.

Orders from the API, imports and connected stores

The credit hold also applies to orders that arrive through the inFlow API, via a CSV import, or from a connected store, so an over-limit order from your webstore is also marked as unconfirmed.

Credit limits vs. customer credit

Uninstalling the plugin

Uninstalling Customer Credit Limits doesn’t change orders you’ve already saved. It only stops inFlow from putting new orders on hold. Any order marked Unconfirmed remains that way until someone confirms it.

Only administrators can uninstall a plugin.

  1. Click on the Settings icon > Plugins.
  2. Under Installed plugins, select the Customer Credit Limits card.
  3. Select Uninstall, then confirm.

The Credit Limit card disappears from your customers, but the limits remain. Each customer’s limit appears in their Custom fields section, where you can still see and edit it, and it returns to the card if you install the plugin again later.
